Terms and Conditions and House Rules of Van Rossum Woerden City Hotel, in addition to and in accordance with the Uniform Conditions for the “Uniforme Voorwaarden Horeca (UVH)”.

Cancellation policy hotel

If you have booked through another booking channel, you must cancel through them. We are not responsible for this.

For our flexible rates, we have a cancellation period of 24 hours before the check-in time of 3:00 PM. If canceled within 24 hours (after 3:00 PM) of the day of arrival, the entire amount will be charged.

Non-refundable

This rate differs from the flexible conditions and must be settled immediately upon booking. The booking cannot be canceled or modified thereafter.

Packages

48 hours before the check-in time of 3:00 PM. If canceled within 48 hours (after 3:00 PM) of the day of arrival, the entire amount will be charged.

For more than 5 suites and the long-stay rate, the following cancellation conditions apply:

Between 30 and 14 days before the start date: 60% of the total number of suites.
More than 7 days before the start date: 85% of the total number of suites.
7 days or less before the start date: 100% of the full invoice.

This also applies to individual room cancellations.

Moving reservations

In case you wish to move your booking and the price of the new date is higher than the original booking, we are obliged to charge you the difference. The deadline for moving your booking is, like cancellation, 24 hours before arrival.

Cancellation during stay

If you decide to leave one day earlier during your stay, we are obliged to charge the costs of the original reservation.

No Show

If you do not show up without canceling your reservation, we will charge you costs.

General rules
  • All instructions from hotel staff relating to house rules must be followed. Check-out is until 11:00 AM.
  • During check-in, a valid identification must be presented. Check-in is available from the age of 18.
  • Cameras are placed in various areas within the building. By being present in our hotel, everyone consents to being recorded. In the event of emergencies and/or incidents, these recordings may be shown to third parties as supportive material.
  • Found items should be handed in at the reception.
  • The Management, the owner of this location, and/or persons working for the hotel cannot be held liable for any injuries and/or material or immaterial damage experienced by visitors of the location.
  • Pets are allowed in the restaurant and on the terrace, provided they are on a leash. Bringing your pet into the suite is not allowed. Guide dogs for the visually impaired are permitted, of course.
  • The hotel is not responsible for the loss or theft of your belongings.
  • Your attire must be presentable at all times; we reserve the right to deny entry to guests wanting to visit the restaurant, hotel, and/or terrace shirtless.
  • Dispose of waste in the designated bins.
  • An emergency first aid kit is available at the reception. We also have an AED.
    In case of a general fire alarm, evacuate the premises immediately.
  • Stay calm in the event of a fire. Report the fire at the reception and/or activate the nearest fire alarm.
  • Under no circumstances use the elevators in the event of a fire.
Regulations for Suites
  • Smoking is not permitted throughout the entire hotel. In case of violation, the hotel will charge €200.00 for additional cleaning costs and/or incurred damages.
  • It is strictly forbidden to light candles/incense due to the fire alarm and fire hazard. (The security system will be activated immediately.)
  • Certain decorations, such as confetti, are not allowed in the hotel rooms.
  • Please inquire at the reception if your decoration is permitted. Additional cleaning costs or technical issues arising from this will be charged to the guest.
  • A maximum of 2 persons are allowed in this room, excluding children and babies.
  • Check-out in this room is strictly by 11:00 AM, after which we will inspect the room.
  • Damage, loss, or vandalism of hotel property will result in immediate eviction, liability, and/or police report.
  • Presenting a valid ID is mandatory.
  • The use, trade, or possession of narcotics (in any form) is prohibited. In cases involving drug use or dealing, the hotel management will involve the police and may proceed with eviction without refund.
  • In case of a general fire alarm, evacuate the premises immediately.
  • Stay calm in case of fire. Report the fire at the reception and/or activate the nearest fire alarm.
  • Under no circumstances use the elevators in the event of a fire.
It is prohibited
  • To cover smoke detectors.
  • To consume, use, trade, or possess narcotics.
  • To use or have laughing gas balloons and/or ampoules in the room or with you.
  • To cause disturbance to others through loud music, objectionable behavior, or any type of noise.
  • To have more people in the room than the allowed number/To receive visitors in the room.
  • To smoke throughout the building. If we detect any smoking, a fine of €200 will be imposed.
  • To receive guests in the rooms for the purpose of commercial sexual activities.
  • To use emergency exits as normal entrances and exits.
  • To take hotel property outside the building. Intentional damage to hotel property may result in liability for repair and/or replacement costs.
  • In all cases not covered by these regulations, the hotel management will decide.
Terms of payment
  • You will receive the invoice within two weeks of booking.
  • For sending the invoice, we charge an administration fee of €8.00.
  • For amounts lower than €200.00 incl. VAT, these costs are €15.00.
  • Payment immediately afterwards is free of charge and only possible by PIN and/or credit card.
